I want to use RefWorks for my Psychology class and my English class. Do
I have to set up two accounts?
- No. Set up one account. Then set up folders for each class or project. There is no limit to the number of folders you can create within your account. To create folders in your account:
- Login to your Refworks account
- Highlight Folders on the menu and click Create New
Folder
- Enter new folder name and click on OK.
Example folder names: Psychology 121 ; English 227
How can I share my RefWorks citations with others in my workgroup?
- Create a Separate Account
RefWorks does not limit the number of accounts you can create. If you
would like the members of your group to have equal access to all citations,
create a RefWorks account with a "group" name, e.g. Quality Production
Group. Tell group members the RefWorks login and password. Email regarding
the account will be sent to the member who set up the account.
In each citation record there are 5 User Fields (User 1, User 2,...) where group members can add individual notes or comments.
- Read-Only Access to a Single Account
In your single account you can create a read-only password that allows others with RefWorks accounts in your school to access your citation database in read-only mode. They will be able to search your database, export data, and create bibliographies. They will not be able to edit references, import references, or change folders.
To set up a Read-only Password:
- Login to RefWorks
- Highlight Tools on the menu and click on Update User Information
- Enter a Read-only Password. This password must be different than your original
password
- Click the Update button
- Export Your Citations for Workgroup Members to Import into their
RefWorks Accounts
To export citations for another RefWorks user:
- Login to RefWorks
- Highlight References on the menu and click Export
- Choose All References or a Specific Folder name
- Select RefWorks Tagged Format
- Click the Export to Text File button and follow your
browser's directions for downloading
- Save the file and then email or otherwise give the file to another RefWorks
user
To import your citations, other RefWorks users at your school will need to:
- Login to RefWorks
- Highlight References on the menu and click on Import
- Following Import Filter/Data Source, select RefWorks Tagged Format
- In the Import Data from the following Text File area,
click the Browse button and select the file you gave them
- Click the Import button
- Check for duplicates after importing the citations by highlighting View on the menu, highlighting Duplicates, and clicking on Close Match
Can more than one person access a shared account at the same time?
- There is no limit to the number of people simultaneously accessing a shared account. However, the more people editing records in the account, the slower the response will be. If two or more individuals simultaneously edit the same record, the last person to save the record will create the saved version. This overwrites edits done by someone else editing that record.
How do I open two accounts in RefWorks at the same time?
- Open your browser by selecting it from the Program menu or by clicking
on the icon on your desktop or task bar. If you use Internet Explorer DO
NOT open another window by using the File,
New, Window option.
When you do this you will not open another existing RefWorks account.
It will be a second copy of the first regardless of the password or
login information.
When I open two accounts at the same time they always end up being the same. Why?
- If you use Internet Explorer and opened a new IE Window by selecting File,
New, Window rather than clicking on the IE icon or opening the program from your Program Menu, you will be in the same account as the first window. RefWorks uses cookies to "remember" users and to have two accounts open at the same time you must have two sets of cookies. IE only creates two sets when you open a second IE in the manner described above.
The EMU Gruaduate School and University Library have paid for a one year subscription to RefWorks. What happens to my data if they decide not to subscribe after the year is over?
- You will be notified prior to the cancellation. At that time, you can
purchase an individual subscription to RefWorks for $70 per year or,
if you prefer, you can export your entire database in a format that is
compatible with other bibliographic software, e.g., EndNote. You can
also export the data in a delimited format to use in some other type of
database program.
Do I have to disable my pop-up blocking software to use RefWorks?

We recommend disabling any pop-up blocking software you may be running when using Refworks. If your pop-up blocker software allows you to specify a domain for which pop-ups are acceptable, you may wish to add http://www.refworks.com/ to the list. This should help eliminate any inconsistencies browsers might face when opening RefWorks windows. Please refer to help files associated with your pop-up blocking software for further information about this feature.
How do I format in-text citations according the guidelines of the style manual I am using?

Some style guidelines require that a specific page be included in an in-text citation. Others require that the author name be left out of the citation if the name is included in the text. RefWorks cannot determine a specific page number for a reference or know when an author name is in the text. You can, however, manually instruct the program to exclude or include certain items in the citation through the use of in-text 'switches'.
When using switches with Write-N-Cite or One Line/Cite View be sure to place the switch before the semi-colon {{1Smith /a;}}. If you put the switch after the semi-colon it will cause an error when generating the bibliography.
