Searching (Query) for Documents

Individual departments scan and index documents into ApplicationXtender. Once they have been indexed and saved, authorized personnel can search for, view and print these documents in a single application or across applications.

Application Query

Follow these directions to search for documents:

  1. From the Application List page, double-click the desired application name.

    Note: If you want to use a previously saved search, click the plus-sign [+] next to the application name and double-click the query name you want to work with, from the list. To rename or delete a previously saved search, right-click the query name and choose Properties or Delete (respectively) from the list.

  2. The New Query page is displayed. In the Show column, click to select the checkboxes for the Index Names you want to display in the search results.

    Note: If you want to use a previously saved search, click the Current Query pull-down arrow and choose the query name you want to work with, from the list.

  3. Type the ID you want to work with in the ID field.

    Note: Alternately, you enter any information that will help to locate the documents you want to view/print, in any of the other Search Value fields on the New Query page. Use an asterisk (*) wildcard to match any single character or string of characters.

  4. Click the Submit button.

    Note: If you are going to use this search again, type a name in the Query Name field and click the Save button.

  5. The Results Set page is displayed.

  6. By default, a maximum of 10 documents are displayed. Use the Navigation buttons to navigate and view the entire list of documents or click a column heading to sort the list of documents in ascending/descending order.

    Note: If no documents match the search criteria, a No Documents Found message is displayed. Click the OK button.

  7. Use the Application List button on the toolbar to return to the Application List page or click the New Query button on the toolbar to return to the New Query page.

Cross-Application Query

Follow these directions to search for documents:

  1. From the Application List page, double-click the desired application name.

    Note: If you want to use a previously saved search, click the plus-sign [+] next to the application name and double-click the query name you want to work with, from the list. To rename or delete a previously saved search, right-click the query name and choose Properties or Delete (respectively) from the list.

  2. The New Query page is displayed. Click the Current Query field pull-down arrow and select the name of the cross-application query from the list

  3. The Index Name column list on the New Query page may change, based on the definition of the cross-application query. Enter the criteria you want to work in the Search Value fields.

    Note: Alternately, you enter any information that will help to locate the documents you want to view/print, in any of the other Search Value fields on the New Query page. Use an asterisk (*) wildcard to match any single character or string of characters.

  4. Click the Submit button.

    Note: If you have access, this list will display any documents that reside in the Xtender applications defined in the cross-application query.
