Network Drop Orders
Data Outlet Installation Request Process
The Division of Information Technology, in conjunction with the Physical Plant, has completed a time and materials (T&M) contract with two vendors for campus data cabling needs. These contractors meet or exceed all required certification levels and are contractually required to follow EMU and industry best practices for data cabling.
Request Process - Updated January 2012
To initiate a data drop request, send an email with the fund and org numbers to be charged along with the approval from a signer on the account to email@example.com. The request must include the required information listed below. I.T. will create a work order for the requested work and assign a contractor to complete the work. Once the work has been completed, I.T. will activate the new data drops in the communications closet(s). I.T. will send an email to let the appropriate person know that the data drop installation is complete and ready for use.
Note: Unfortunately, the contractors are not permitted to accept orders directly from departments using university purchasing cards. Departments contacting contractors directly will be referred to I.T. for assistance.
Include the following information in the request sent to I.T. :
- Building name(s) and room number(s) where new drop(s) are to be installed - be as specific and detailed as possible.
- Banner Fund/Org/Program codes approved in writing by an appropriate signer.
- Site contact information - name, email, and phone number of the person that should be contacted for questions about specific location of requested drop(s).
- Completion contact information - name, email, and phone number of the person to notify when the work is complete, if different from the site contact.
- Additional contact or description information for special circumstances
- Amount for the data drops (based on per drop cost of $325)
Please install one new data drop for room 140 in Pray Harrold.
Site contact is: (name, phone number, email address)
Completion contact is: (name, phone number, email address)
Account is: (Fund/Org/Prgram info)
Sample of Optional Information
The room already has a data drop on the east wall. We need a new data drop on the west wall for a printer. Also note, the room will only be available between 9 a.m. and 1 p.m.
Requests that do not include the information above may result in delayed installation. Requests without appropriate fund/org numbers or without approval from an authorized signer will be returned.
Other Relevant Information
Completion time for data drops is typically 1-2 weeks from receipt of request. However, if a drop needs to be installed by a specific date, note the desired completion date on the request.
The new contracts include a "not to exceed" cost of $325 per drop. This per drop cost may be included on the request. It is generally safe to assume that $325 per drop estimate is accurate for up to four new drops ordered at one time. Should a department need to order more than four drops, contact Ralph Fitzpatrick at 734.487.6404 or firstname.lastname@example.org to request a cost quote as the per drop cost may be slightly lower. In the case where installation is more difficult than normal, the contractor will inform EMU of any additional costs, and those costs will be sent to the requester and signatory for approval before proceeding.
The Division of I.T. does not collect any fees for this service. All costs charged against data drop requests are actual costs billed by the contractor in compliance with their competitively bid contracts.
Should you have any questions about this process, please feel free to email Rocky Jenkins (email@example.com) or Ralph Fitzpatrick (firstname.lastname@example.org).
