Eastern Michigan University provides server space, but does not provide web development services or technical support, to approved student organizations on campus. Student organizations wishing to have web sites must familiarize themselves with the regulations (below) and must designate their own webmaster. The webmaster must possess the basic web development skills required to set up and maintain the organization's web site, including at least a rudimentary knowledge of Dreamweaver/HTML, basic image creation/manipulation, and SFTP. Unfortunately, at this time EMU cannot provide these services or training for these services.

CHECKLIST FOR SETTING UP A STUDENT ORGANIZATION WEB SITE ON EMU'S SERVER:

  1. Go to the Student Organization Center in the Student Center and fill out the paperwork to have your organization, and your president and adviser, officially recognized. This step is ESSENTIAL and must be done FIRST. If your organization already exists, VERIFY that it is still current AND that your current president is officially recognized. Failure to follow this step will delay or invalidate your request for server access.
  2. Ask the Student Organization Center to notify the Director of Web Communications that your organization is officially recognized and that your president is current.
  3. Download the form to obtain server access.
  4. Have your WEBMASTER fill out the top of the form, and have your PRESIDENT fill out the bottom half. IMPORTANT: EMU assigns web access to INDIVIDUALS, not to organizations or groups. So, if you wish to have more than one webmaster, have EACH WEBMASTER fill out a copy of the form. The group's president may serve as a webmaster if she or he wishes to do so.
  5. Submit the completed form to the director of web communications, 18 Welch Hall.
  6. You will receive an e-mail notification once your server directory access has been established. This message will contain all the information you need to access your assigned directory on the EMU server. If you have not been notified within 3 weeks of submitting your form, you may contact the director of web communications for further information.
  7. Design your web site according to the regulations for unofficial web sites.
  8. Load your web site to EMU's server based on the instructions in the e-mail message you received.
  9. Periodic reviews of sites are conducted to ensure they follow the official regulations. As long as you remain in compliance with these regulations, your site will remain in good standing on EMU's servers.
  10. Be sure to notify the director of web communications immediately if you wish to change, add or remove your webmaster(s).

Before you fill out this form, PLEASE make sure your CURRENT president and/or adviser, as recorded by the Student Organization Center, is listed! If your current president's name (or adviser's name) does not match what the Student Organization Center has listed, we CANNOT grant you access to the server. So, if you are a new organization or have recently changed your president, you MUST make sure the change is recorded at the Student Organization Center.

To summarize: ONLY the group's official president or adviser may authorize access to the group's web site on our servers. If the official president or adviser does not sign the access form, the webmaster will not be granted access to the web site.

1. Setting up your student organization web site

Recognized student organizations may create web sites and install them on an EMU server. The Student Organization Center, under the authority of the Director of Campus Life, must verify that a student organization is active and officially recognized by the University before server space will be provided for that organization. The Student Organization Center is responsible for providing a current list of approved student organizations. STUDENTS: Please make sure your organization is on the current list, and that your current organization president and/or adviser is listed, BEFORE submitting your application for web space. Go to the Student Organization Center in the Student Center to make sure you are on the list. If your organization is not on the list (including your current president's or adviser's name), your application will NOT BE PROCESSED.

Student organization web sites are considered UNofficial web sites at EMU. Before requesting server space and a URL for your student organization, please familiarize yourself with the regulations concerning UNofficial web sites at EMU; below.

To obtain web space for your recognized student organization, make sure that your organization and current president/adviser are on the list of approved student organizations. Then, submit a signed EMU Web Site Hosting and Access Agreement, Student Organization version (pdf) to the Director of Web Communications. The Access Agreement must be signed by BOTH:
1) the student organization's webmaster
AND
2) the student organization's current, official president or adviser
Sometimes the group's president is also the webmaster. That's fine; he or she will simply need to sign both sections of the form. The webmaster must possess the requisite skills for web development, which include (at a minimum) the ability to create html pages and upload them to our server using SFTP. If there will be more than one webmaster, each individual webmaster must complete a separate Access Agreement. (Access accounts are granted to individuals, not to organizations, so webmasters may not share a user name). Please read the Hosting and Access Agreement carefully before submitting it, so you will be able to follow the regulations and procedures on the form. If any of the regulations are unclear, please ask for clarification (call 487-5376) before signing the form.

After you submit your form, it will be reviewed to ensure that the president/adviser authorization section matches the official list. If it does, an account will be created for the webmaster(s), and the webmaster(s) will be notified by e-mail of their access information. While this process is usually timely, it can take 10 or more business days. If you have waited longer than 15 business days, feel free to inquire with the director of web communications at this address.


2. Specific regulations concerning UNofficial web sites

While EMU supports the right of individuals and student organizations to develop web sites for their own purposes, these sites are considered UNOFFICIAL sites at EMU. The University will provide server space for unofficial sites developed within its policies of acceptable use and information content, but can not provide web development or site support services. Additionally, developers of unofficial sites must be aware that they are NOT permitted to use the official EMU templates or close iterations of the EMU web site's "look and feel." Unofficial sites are NOT permitted to use any of the EMU logos or wordmarks (unless they obtain prior, written permission from the director of Web Communications). Unofficial sites must be clearly distinguishable from official sites in design and presentation.

Additional regulations concerning unofficial web pages on EMU servers include the following:

  1. The contents of all web pages published on EMU servers must comply with EMU's General Rules on Information Content.
  2. Any unofficial University site hosted on an EMU server (other than people.emich.edu) must clearly indicate that it is unofficial, by posting the approved EMU disclaimer on its home page. The disclaimer reads as follows: "This site is hosted on an Eastern Michigan University server, but is not an official EMU web site. The material on this site is not officially approved, licensed, sponsored or endorsed by Eastern Michigan University. The University assumes no express or implied responsibility for any component of this site, including content, presentation, usability, accessibility, accuracy or timeliness, nor of any links directed from this site. For information about this web site, please contact [a representative of the group or organization]." (Replace bracketed text with text specific to your organization.) EMU reserves the right to change the wording of this disclaimer at any time.
  3. All files within your web site directories on the EMU servers must be directly and currently a part of your organization's web site. Personal files are prohibited (with the exception of sites on people.emich.edu; refer to that site for details.)
  4. The sale or promotion of goods and services is prohibited on sites hosted on or linked from an EMU server. ALL COMMERCIAL ACTIVITY IS PROHIBITED on unofficial sites. Rare exceptions for such applications as certain types of conference registrations are granted only with PRIOR, WRITTEN consent from the EMU director of Web Communications.
  5. Commercial advertising of any kind is prohibited on sites hosted on or linked from an EMU server. (On rare occasions and in very specific circumstances, certain limited exceptions can be granted. Contact the director of Web Communications for details).
  6. Unofficial web sites may not establish their own subdomain using any path identification associated with Eastern Michigan University, and may not attempt to host a site name in the .com (dot-com) domain via the EMU servers (i.e. dot-com sites must be at least one clear link/step away from an EMU-hosted landing page. Contact the director of Web Communications for details). For security reasons, student organizations are not permitted to attach external servers to the EMU network.
  7. Student organization sites are expected to maintain a modicum of professionalism commensurate with their association with EMU.
