Business Objects Enterprise (BOE) Guide

Logging In

Anyone with access to Business Objects Enterprise (BOE) can log in to BOE.
  1. Log in to BOE via the Banner Launch page, by clicking the BOE Login (Reports) link using your NetID credentials.
    Note: You can also access BOE from My.Emich via the Go To BOE button on the Reports tab.

BOE Categories

The BOE categories are listed along the left-hand side of the BOE interface
  1. Finance Operations - contains budget and labor reports.
  2. Student Information - Contains student reports organized into the following sub-categories:
    • Admissions - Reports used to process admissions applications.
    • Course & Section Reports - Section Enrollment report and other tools for department schedulers.
    • Student Data Reports - Majors reports and other information on individual students.

View on Demand (VOD)

The View on Demand feature gives you a live query to get the latest data available. View on Demand reports are often marked with the VOD identifier
  1. Right-click the report title to view a list of options.
  2. Select the View option to run a VOD report.
  3. Select your Output Format:
    1. Default setting is Crystal - Printable Format to view the data online or print it.
    2. Select Excel - Data Format to export as an Excel file.
  4. Term code - choose the term from the drop-down list (except on current MajorsMinors report).
  5. Select at least one parameter from College, Department, Major, etc. Be careful with the parameter fields, incorrect parameters will result in no data being returned.
  6. Click the OK button to perform your query.
    Note: Parameters will vary depending on the report.

Navigating a Crystal Reports File

Click the Toggle Navigation button in the BOE toolbar to maximize your screen real estate. You can click it again later to see the BOE categories again. There are two ways to navigate through a Crystal Reports file.
  1. In the navigation toolbar above the report area:
    1. Click the Next Page button to advance one page at a time.
    2. Click the Previous Page button to go back one page at a time.
  2. You can also use the left-hand column to navigate through the pages:
    1. Click the plus (+) sign next to your College code.
    2. Click the plus (+) sign next to your Department code.
    3. lick the plus (+) sign next to your Major code (or Subject code).
      A list of the next grouping level is displayed.
    4. Click the label of the desired grouping level.
      For example, in the Section Enrollment report, click the desired course number to view the data for that course.

Printing a Report

To print out a BOE report, follow these steps:
  1. Click the Export button in the BOE toolbar (NOT the Print button).
  2. In the Export dialog box, select PDF from the File Format pull-down menu.
  3. Click the Export button.
    A PDF file is displayed.
  4. Click the Print button in the Adobe Reader toolbar.
    You will be prompted to print normally from this point on.

Exporting to Excel

If you want to perform sorting and filtering of the report data, you will need to export to Excel.
  1. Right-click the report title and select View from the list.
  2. Select Excel - Data Format from the Output Format field list.
  3. Click the OK button.
    An overlapping list of data is displayed.
  4. Click the Export this report button in the BOE toolbar.
    The Export Report window is displayed.
  5. At the top of the window, select Microsoft Excel 97-2003 - Data Only (XLS) from the File Format field.
  6. Click the OK button.
    An Opening... window will appear.
  7. Click the Open With button and select Microsoft Office Excel from the list.
    Click the Do this automatically checkbox to skip this step in the future.
  8. Click the OK button to open your Excel file.

Filtering Data in Excel

To filter data in Excel 2007, follow these steps:
  1. Click the upper left corner of the Excel spreadsheet.
    This will select all cells in the spreadsheet.
  2. Click the Format menu and select AutoFit Column Width from the list.
    This will set each column width to the data.
  3. Click the Sort & Filter menu and select Filter from the list.
  4. Click desired column heading to display the Filtering menu.
  5. Uncheck all values by clicking Select All.
  6. Click the desired data value button to filter by that data value.
  7. When you are finished, click the OK button.
    Note: Once you have activated a filter, in the lower-left corner you will see the number of records your filter is displaying, out of the total number (ie., "58 of 395 records found.").

    You can use more than one filter at a time. Remember, the second filter will only affect the subset of data created by the first filter.

    You can remove a filter by clicking Clear Filter from the menu.

Accessing Scheduled Reports

Reports can be scheduled to run at specific times, usually overnight. Scheduled reports are typically run five nights per week or once per week. To access these reports follow these steps:
  1. Right-Click the report title and select History from the list.
    All instances of the report are displayed.
  2. Click the Instance Time link for the desired report instance.
    The Crystal Report file associated with the desired report instance is displayed.

Accessing from Off Campus

You cannot access BOE from your home (or via wireless) unless you connect using the Virtual Private Network (VPN). Visit the AnyConnect VPN page for more information.

Tips & Tricks

  • Click the Toggle Navigation button in the BOE toolbar to maximize your screen real estate. Click it again to redisplay the BOE categories
  • Click the Refresh Page button above the report data to rerun the report with different parameters.
  • Click the Log Off button in the upper right-hand corner to log out of BOE.
