ZendTo Secure File Share

  • What is ZendTo Secure File Drop? Expand dropdown
    EMU ZendTo is a web based tool that allows EMU employees to securely exchange files with other EMU employees, or with those external to the university. ZendTo uses complex encryption to secure files and permits users to share files much larger than those they can send via email.
  • Key Features Expand dropdown
    • Login requires EMU NetID/Password and DUO secondary authentication.
    • Files are encrypted using a user selected passphrase; files cannot be decrypted without the passphrase.
    • Files are encrypted using transport layer encryption (TLS) when they are transferred to, and from, the ZendTo server.
    • Encrypted files are temporarily stored on the ZendTo server which is hosted in EMU’s data center.
    • Files on the ZendTo server are never transferred to a third party cloud application unless the Sender or the Recipient transfer the file(s) to one of those services themselves.
    • Files on the ZendTo server are not backed up or otherwise copied. Files are automatically deleted from the ZendTo server after a maximum of 14 days.
    • Access to the EMU ZendTo server, and all activity, is logged.

    • ZendTo meets the encryption standard required for sharing any EMU business data, including PII.
    • Limit file sharing to data that you are authorized to send/receive for legitimate business purposes.
    • Select long passphrases (16 characters are recommended) and practice safe data handling with files that have been shared with you.
  • Login to EMU ZendTo Expand dropdown

    If you use the Duo Push Feature/Duo App:

    1. Use a browser to navigate to: https://files.emich.edu
    2. Click the “ Login ” button.
    3. Type your EMU NetID and Password and click the “ Login ” button. A Duo push or call will automatically be sent to your registered device for authentication.
    4. Open the Duo App, or answer the Duo initiated call, to authorize your login.

    If you use a Duo Token:

    1. Use a browser to navigate to: https://files.emich.edu
    2. Click the Login button.
    3. Type your EMU NetID in the EMU username dialog.
    4. Generage a code using your DUO Token.
    5. In the Password dialog, type your password, followed by a comma and then the code from the Duo token. e.g. password,123456
    6. Click the “ Login ” button.
  • Share a File with Another User Expand dropdown
    1. Login to ZendTo.
    2. Click the “ Drop-Off ” button.
    3. Type the Name(s) of the intended recipient(s) in the Name field.
    4. Type the Email Address(es) of the intended recipient(s) in the Email(s) field.
    5. Type a Subject Line .
    6. Type a Note (optional) for the recipient(s).
    7. Click the “ Click to Add Files or Drag Them Here ” button.
    8. Select the file(s) that you wish to drop off for another user, or drag the file(s) onto the “ Click to Add Files or Drag Them Here ” button.
    9. Type a Description (optional) for each file added to the drop off.
    10. Click the Drop-off Files button.
    11. Type a Passphrase for the file(s), and re-type the Passphrase to confirm it.
    12. Click the “ OK ” button. The file(s) will be encrypted using the specified passphrase and an email message will be sent to the intended recipient(s).
    13. Communicate the designated passphrase to the recipient(s), via phone call, chat or text message. Use of a communication medium other than email prevents a scammer from gaining access to both the encrypted file and decryption passphrase.
  • Pick up a File Expand dropdown
    1. Review the email message sent to you from ZendTo. If you are expecting a file from the sender specified in the email, click the document link or copy and paste it into your browser.
    2. Click the “ Download All Files ” button or the “ Download All Files as an Unencrypted Zip ” button.
    3. Type the Passphrase provided by the sender to decrypt and open the file(s).
  • Request a File Drop-off from an External User Expand dropdown
    1. Login to ZendTo.
    2. Click the “ Request a Drop-Off ” button.
    3. Type the Name of the external contact in the “ Name ” field.
    4. Type the Email Address of the external contact in the “ Email(s) ” field.
    5. Type a Subject Line.
    6. Type a Note to describe the file(s) you are requesting.
    7. Click the “ Send the Request ” button.
    8. Type a Passphrase for the file(s), and then re-type the passphrase to confirm it.
    9. The external contact follows the instructions in the email they received from ZendTo to upload the file(s). The file(s) will be encrypted using the passphrase that you specified.
    10. Once the external person uploads one or more files, you will receive an email with pick up details.
    11. Follow the instructions in the email to decrypt and open the file(s) using the passphrase specified earlier in step 8.
