Student Organization Resource Page

Welcome EMU Student Organizations, this page will act as a hub for everything your org will need to know to plan a meeting/event on campus. The EMU Event Services BookEMU office manages room reservations for the Student Center, McKenny Hall, and the Lake House. Although we only book spaces in those areas on campus, we can act as a resource for getting you connected with other buildings on campus as needed. We are here for you every step of the way in the event planning process!

Student Org Room Rentals:

Registered student organizations that are in good standing with Campus Life receive free room rentals for org meetings and events within the EMU Student Center and McKenny Hall. Your org must receive a reservation confirmation from the ESO/BookEMU office to utilize a space within those buildings. Lake House: All student orgs (in good standing) must pay a discounted $40 fee to utilize the Lake House/Amphitheatre.

Room Setup:

BookEMU offers a variety of different room setup options. Below you will see our most common. We can do custom setups as needed, but typically use the base options below. 

 

Classroom

Classroom setup can be used for presentations/meetings where the guests face the presenter while also having a table for convenience. 

Banquet/Rounders 

Banquet/rounders setup can be used for both formal or informal events. Each round table has eight (8) chairs around it. 

Theatre 

Theatre setup can be used for presentations/meetings where the guests all face the presenter. This style allows for a higher number of guests to occupy the space. 

Boardroom

Boardroom setup can be used for small meetings where collaboration is priority. All guests face eachother around a table. 

Open Square

Open Square setup can be used for mid-size meetings where collaboration is priority. All guests face eachother around 6ft tables set in a square. 

U-Shape

U-Shape setup can be used for both small and mid-size meetings. This style allows for a combination of priorities; space for a presenter/moderator, as well as collaborative seating where guests face eachother around 6ft tables set in the shape of a U. 

Audio/Visual Equipment: 

All student orgs receive a discount on our A/V equipment rentals, including projectors, sound systems, microphones, lighting, etc. Check with an event coordinator for pricing details. Additional fees may be applied when asking for A/V equipment on the day of the event. 

Catering: 

Please speak with an event coordinator for food and beverage policies. Do not bring food to an event without approval or arrangements being made with BookEMU/ESO.

Forms:

All forms can be submitted via email to [email protected] or in person to the Event Service / BookEMU Office in Room 370 of the Student Center during standard business hours. 

  • Event Contact Update Form: All student orgs must have up-to-date contact information on file with the ESO/BookEMU Office to make a reservation. *Only members listed on this form can make room reservations for the org. 
  • Inquiry Form: This form is to be used for requesting a one-time meeting/event for less than 50 guests. This form can also be used to request the Lake House if it is less than 50 guests. 
  • Multi-Date Form: This form is to be used for requesting a recurring weekly, bi-weekly, or monthly meeting for your org. 
  • Special Event Form: This form is to be used for requesting an event that will have 50 or more guests and taking place in one of our larger spaces; i.e. SC Ballroom, MCK Ballroom, Room 310AB or larger outdoor/Lake House events. 
  • Lobby Table Request Form: This form is to request a lobby table on the 1st floor of the Student Center.
